Oxford Hospitals Charity is an NHS charity supporting the great work of hospitals, research teams and over 450 deserving funds. Almost every ward and department of their hospitals has felt the positive impact.

In 2019, the Charity was becoming concerned about the longevity of the existing provider of their financial and CRM systems, so they decided to evaluate alternatives.

They were also aware that the existing systems landscape comprised a number of separate systems with no integration between them. As a result, there was great deal of manual transfer of data from system to system with resulting costs and overheads.

Delays, the errors in data transfer and the difficulty of pulling together all the related information, combined to drive a need to look for a far more effective and efficient approach.

Grants are made by funds transfer or automated, straight through the Charity’s procurement process to manage the selection, purchasing and delivery of the needed items. Transcriptions, re-keying errors and wasted time are things of the past.

The new single system also ensures best practice governance from full audit trail through to UK Fund Accounting and Charity Reporting, delivering further savings in time and cost.

All transactions are posted automatically into the Charity’s books and commitments within each fund are updated in real time. So, management of the Charity can now be confident that the needs of their donors and recipients are being met rapidly and efficiently, costs and overheads are lower and that all the specialist financial reporting of the Charity is accurately and speedily delivered.

Getting Ready:

1. If you don’t know where you are going, then any route will do. Clearly define the reason why you are implementing the ERP – what are the objectives / what will you be able to do better?
2. Communicate to all the user community so there are no surprises
3. Make sure that the whole team can see the vision and advantages the implementation will bring. Keep that enthusiasm alive
4. Document and communicate the scope – and try to stick to it; defer extras to a second phase
5. Do a thorough selection exercise to ensure that the product actually does what you need

Setting out:

1. Hire an expert implementation team who know the product well, have business expertise and who fit with your culture
2. Stay in the same boat – make sure the senior sponsors and users all agree with the objectives and the timeline
3. Avoid a ‘Big Bang’; identify phases with clear deliverables and tangible results
4. Create a clear and visible task plan – and be prepared to flex it

This year much of the focus was on the vertical-specific capabilities of SuiteSuccess, a new fully integrated Planning and Budgeting Cloud Service and the introduction of new international editions and localisations to support more customers all over the globe.

As well as the key focus on customer engagement and opportunity, including huge amounts of information regarding what to expect from NetSuite going forward, NetSuite has unveiled its plans to make partners just as successful as customers by announcing that as well as the SuiteSuccess customer programme, it will be introducing the SuiteLife programme to reach the full potential of its partners.

Days at SuiteWorld start with keynotes, and this year NetSuite did not disappoint with its cast of well-known and knowledgeable speakers. Highlights included Jason Maynard, Oracle NetSuite SVP, Global Field Operations, talking about how NetSuite helps customers unlock their growth potential and speaking with Shaquille O’Neal, a member of the NBA Hall of Fame, Media Personality and Entrepreneur on the subject. Another highlight was an extremely well received keynote speech from Gary Weissinger, Oracle NetSuite SVP, Product Management, with featured speakers, on the subject of products and the framework that is the NetSuite product roadmap.

Throughout the day conference goers are encouraged to go to presentations on different topics, and attend the Expo, where partners and customers and developers can meet and network. At the end of the day attendees don’t slow down and this year the Wednesday night evening show, that SuiteWorld is famous for, was GloFest with Shaquille O’Neal performing.

The rally itself is unpredictable and requires months of planning and preparation. The route through the French Alps is mostly asphalt, but the roads are narrow and precarious and a great portion of the time that asphalt is covered with snow and ice, so the changeable winter weather is just one of the many challenges that the drivers, navigators and their crews have to account for. Hit one patch of ice and you’ll find yourself nose-down in a ditch. John and co-driver Karsten Hegel had a spectacular moment when they did exactly that, and very nearly forfeited the race. As luck would have it a very kind un-named French driver happened to pass by shortly afterwards in his jeep and pulled them out. Other than a few bruised egos, amazingly the only damage done was a couple of bent spotlights which were easily coaxed back into place, and so the race continued!

One technical hiccup occurred during the rally, the gear stick clearly wasn’t used to being rattled around and completely sheared off, and in a flash of genius or madness the two decided to superglue in the closest thing to hand that resembled a gear stick: a screwdriver! After the rally John mentioned, “It worked too well, we can’t get it out!”

On the last day of the rally, having been through Reims, Valence and a myriad of remote villages, past the cheering fans and notably welcomed through Bâtie-des-Fonds, one of the smallest villages of the Drôme department, which only has six residents, they finally made it to the end of the journey in Monte Carlo. Exhausted, and bruised from being tumbled around in the hard bucket seats for a week, but triumphant, they made it to the end and came in at a reasonable place, considering the time lost in the ditch; 228^th place out of 325 starters.

Of the rally itself John said “This was our sixth Monte Carlo Historique and I am pleased to say we have completed the course on all of them, although our time this year might be called an ‘Improvement Opportunity…’ This year the weather was truly atrocious with deep snow, plenty of ice and challenging conditions. Two of the special stages had to be cancelled because the organisers could not get to them!  We can’t wait to get back on the road again for next year’s Rally” It is John and Karsten’s plan to compete again next year and we wish them the best of luck and hope they make their next time a personal best!
